Publicizing Your Event

Williams College Calendars

The college’s campus-wide public events calendar is at https://calendar.williams.edu/. The calendar’s aim is to combine all campus public event listings into a single, more functional and more visually compelling calendar. We hope you find it both useful and easy to use. Log in at http://calendar.williams.edu to start using the calendar today! The calendar is intended to promote public events. Anyone with a Williams username and password can submit events to it. For detailed instructions on using the calendar, please see http://oit.williams.edu/help/calendar/.


Daily Messages

Daily Messages are emailed on weekdays to all Williams faculty, staff, and students. You are responsible for submitting the Daily Message for your event.

Event releases

For Faculty and Staff

If requested, the Communications Office will write and distribute promotional releases for academic department-sponsored public events held in larger venues. See Faculty Event Release Guidelines for more information.

For Students

Student organizations are expected to write and distribute their own event releases. See “Writing an Event Release” and “Submitting an Event Release” in Publicizing Student Events.


The Williams Record

The student-run newspaper is published weekly on Wednesdays during the academic year. Copy deadline is Friday afternoon. For rates and submission instructions, see www.williamsrecord.com.


WSO Announcements

Radio

Radio ads may be placed on the station’s events calendar webpage (usually free) or announced on air.


Local media calendars

Don’t forget the local newspapers and online events calendars. Most offer free options.


Posters and flyers

Posters are an important way to promote your event to the campus and local community. The Office of Information Technology’s Media Education Center provides support for designing and printing posters. Print and Mail Services can duplicate posters in black and white or in color, up to 11×17 inches, for a fee. Print and Mail Services can assist you with poster distribution, or you can download a list of locations suitable for poster placement.

McClelland Press (413-458-4248), Beck’s Printing (413-664-7411), and Adams Specialty Printing (413-743-9101) also print posters. Call for requirements and pricing.
